- • Send three separate Diwali emails, not one: a greeting, a holiday notice and a bonus or gift note, each with its own sender.
- • Central government offices close on Friday 29 October 2027 for Diwali under the DoPT 2027 holiday order; send the private-sector notice by Monday 4 October.
- • Under the Code on Wages, 2019, in force since 21 November 2025, the minimum annual bonus is 8.33% of wages or ₹100, the maximum 20%.
- • Section 37 lets an employer deduct a puja or customary bonus from the statutory bonus, so the email must say which one it is paying.
- • 48.3% of SubhSandesh shared-page views happen on a phone, so put dates and amounts in the first two lines.

Diwali Email to Employees: Six Templates With Subject Lines
A Diwali email to employees works best as three short emails, not one long one: a greeting, a holiday notice and a separate bonus or gift note. On SubhSandesh, 48.3% of 57,456 recorded views of shared pages happened on a phone (measured 24 September 2026); those are greeting pages, not office mail, but it is the reason to put dates and amounts in the first two lines.
Send the holiday notice early, because people decide late: in our nearest festival data, 49.4% of Raksha Bandhan 2026 pages were built on the festival day itself (n = 89, a different festival). Below are six original templates with subject lines, the Diwali 2027 dates (Lakshmi Puja on Friday 29 October 2027), what the Code on Wages, 2019 says about a "puja bonus", and when a company email is the wrong tool.
What should a Diwali email to employees include?
A Diwali email to employees is a workplace message that does one job: greet, announce a closure, or confirm a payment or gift. For Diwali 2027 that means separate emails between 4 and 28 October, because a bonus date mixed into good wishes gets buried.
Each email should name its sender, give dates with weekdays, and say what the reader must do. A holiday notice needs leave plans by a deadline; a bonus note must state the basis and the credit date.
Diwali 2027 dates to put in a holiday notice
The five days run from Dhanteras on Wednesday 27 October to Bhai Dooj on Sunday 31 October 2027, with Lakshmi Puja on Friday 29 October. The Department of Personnel and Training's 2027 order for central government offices, as circulated by the Ministry of Jal Shakti in July 2026, lists Diwali as a compulsory holiday on Friday 29 October 2027, with Naraka Chaturdasi, Govardhan Puja and Bhai Duj on the restricted list.
The same order lets central offices in a state that celebrates a day early shift the holiday to Naraka Chaturdasi. That matters for Tamil Nadu, where panchang sources put Tamil Deepavali on Thursday 28 October while holiday lists so far show 29 October. Private employers follow their own state's list, so a pan-India company may need two dates in one notice.
Six Diwali email templates for HR and managers
Every template gives the same four things in the same order: when to send it, the subject line, the draft, and what to change. Replace every bracket before sending.
1. The company-wide greeting from the founder
Send it on Thursday 28 October 2027 by 4 pm. Subject: Thank you, and a bright Diwali to every one of you.
Dear all, This year we [shipped the new billing system / opened the Pune office / got through a hard quarter], and that happened because of the people reading this. Diwali is a good moment to say thank you properly. Whether you are lighting diyas at home or simply resting, I hope the next few days are unhurried. [Name], [Title]
Change the bracket to one real achievement. A greeting without a specific gets deleted.
2. The holiday notice from HR
Send it on Monday 4 October 2027, about three weeks out. Subject: Diwali 2027 office closure: Friday 29 October, and your leave plans by 15 October.
Hi team, The office will be closed on Friday 29 October 2027 for Diwali. [Our Chennai office will close on Thursday 28 October instead, as per the Tamil Nadu list.] If you plan leave on Wednesday 27 or Thursday 28 October, please apply on [HR portal] by Friday 15 October so that every team keeps one person on support. HR, [Company]
Change the coverage rule to whatever your teams need. The 15 October deadline gives managers two weeks to fix gaps.
3. The out-of-office reminder before the break
Send it on Wednesday 27 October 2027. Subject: No replies expected from Thursday 6 pm to Monday 9 am.
Hi everyone, We close from Thursday 28 October at 6 pm until Monday 1 November at 9 am. Please set an out-of-office reply that names one backup contact. Nobody is expected to read or answer work messages during the break, and managers will not send any. Anything urgent goes to [on-call name].
A 2026 systematic review of 12 studies (N = 2,306) found most organisational and national disconnection policies showed limited or no effect on their own, while programmes aimed at supervisors showed modest effects. That is why the draft promises what managers will do, not just what employees may skip.
4. The bonus announcement
Send it at least a week before the credit date. Subject: Your Diwali bonus: [amount or % of wages], credited on [date].
Hi [Name], Your bonus for the accounting year [2026–27] is [₹ amount / X% of wages earned], and it will be credited to your salary account on [date]. [This is the statutory bonus under the Code on Wages, 2019.] OR [This is a festival bonus paid in advance and will be adjusted against the statutory bonus for the year.] Questions go to [payroll contact].
Pick one of the two bracketed sentences. The bonus-law section below explains why that choice is not cosmetic.
5. The gift distribution note
Send it on Monday 18 October 2027. Subject: Diwali gift pick-up: reception desk, 25 to 27 October.
Hi all, Your Diwali gift is waiting at [reception, floor 3] from Monday 25 to Wednesday 27 October, 10 am to 6 pm. If you work remotely or are on leave that week, reply with your delivery address by Wednesday 20 October and we will courier it. Tell [name] about any dietary or religious restriction so we can swap the box.
Rule 15 of the Income-tax Rules, 2026 sets the tax-free limit for employer gifts at ₹15,000 a year from 1 April 2026. Payroll should check each person's running total first.
6. A manager's note to a small team
Send it on Thursday 28 October 2027, from your own address. Subject: Before we break for Diwali.
Hi [team name], [Asha], the client call you rescued in September is the reason we kept that account. [Ravi], thank you for training two new joiners. I am switching off from Thursday evening and I would like you to do the same. Happy Diwali to you and your families.
Name one person and one specific act each. Two lines of real credit outweigh a paragraph of wishes.
What the Code on Wages, 2019 says about a Diwali bonus
The Code on Wages, 2019 (India Code text as on 21 November 2025) repealed the Payment of Bonus Act, 1965 under section 69, and its bonus chapter came into force on 21 November 2025. The government's release of that date said the four labour codes rationalise 29 existing laws, so a bonus email still citing the 1965 Act needs updating.
Section 26 sets a minimum bonus of 8.33% of wages earned, or ₹100, whichever is higher, for an employee who has worked at least 30 days in the accounting year and draws wages up to a ceiling the government notifies; the maximum is 20%. The chapter applies to establishments with 20 or more persons employed on any day in that year.
Section 37 is the line most Diwali emails get wrong. If an employer pays a puja bonus or other customary bonus, it may deduct that amount from the statutory bonus for the same year, so the email must say which one it is.
Section 39 requires the bonus to be credited to the employee's bank account within eight months of the close of the accounting year. For a year ending 31 March 2027, that is Tuesday 30 November 2027, a month after Diwali. This is general information, not legal advice; confirm the notified wage ceiling with your payroll adviser.
Five Diwali emails compared, with 2027 send dates
This table sets each email against its send date, sender and the SubhSandesh figure behind the timing. Each row uses a 2027 date.
| Send on (Diwali 2027) | From | Target length | SubhSandesh signal behind the timing | |
|---|---|---|---|---|
| Holiday notice | Mon 4 Oct | HR | 90–120 words | 6.7% of Raksha Bandhan 2026 pages were built 4+ days ahead (n = 89) |
| Gift pick-up note | Mon 18 Oct | Admin or HR | 70–90 words | 11.1 views per created page |
| Out-of-office reminder | Wed 27 Oct | HR, copied to managers | 60–80 words | 27.0% of Raksha Bandhan 2026 pages were built the day before |
| Founder greeting | Thu 28 Oct, by 4 pm | Founder or CEO | 70–100 words | 49.4% of Raksha Bandhan 2026 pages were built on the day itself |
| Bonus note | 1 week before credit; by 30 Nov | Payroll | 60–90 words | 48.3% of shared-page views were on a phone |
These are Raksha Bandhan greeting-page numbers, not Diwali email data. The pattern still holds: people act late, so anything they must plan around goes out weeks early.
Where SubhSandesh fits, and where it does not
SubhSandesh is not a mass-mailing tool, and none of the six emails above should be a link to it. Festival and wedding pages are 3.7% of 3,894 pages built on the platform, and every page is made for one person.
It fits the one colleague who is more than a colleague, such as the mentor who hired you. The interactive Diwali card with diyas, a rangoli and a shagun liffafa has a friend mode, takes about five minutes, and opens as a private link in any browser. For their next birthday or farewell, browse all SubhSandesh templates.
When a Diwali email to employees is the wrong move
If salaries or last year's bonus are late, skip the cheerful greeting and pay first. A warm note sent while section 39's eight-month clock runs out reads as a dodge.
Shift staff without company email need a notice-board copy in Hindi or the local language by 4 October. Teams with Sikh, Jain and Buddhist colleagues, or people who do not observe Diwali, should get a greeting that thanks rather than preaches, which is why template 1 avoids ritual detail.
