- • Halloween is Saturday 31 October 2026 and Sunday 31 October 2027, so most offices party on Friday 30 October 2026 or Friday 29 October 2027.
- • Default to 60 minutes on paid time: in a 2026 hospital shared-meal study, attendance at one-hour sessions fell from 75.5% to 59.7% as workloads rose.
- • Estimated cost runs from about $4–7 per head for a potluck to $25–40 for an after-hours party with two drink tokens (EST, October 2026).
- • Label every dish against the nine major US allergens and ask about religious diets and fasting on the RSVP, as Acas advises for workplace events.
- • Make costumes optional in writing: the EEOC says employers must, absent undue hardship, excuse staff from celebrations that conflict with religious belief.

Halloween Office Party Ideas: 3 Timed Plans, Budget and Rules
The best Halloween office party ideas start with a timed plan, not a theme. Choose a 60-minute lunch, a 90-minute late afternoon or a 120-minute after-hours slot, set a per-head budget of roughly $8 to $40 (EST, October 2026), label every dish for allergens and keep costumes optional. Halloween falls on a Saturday in 2026 and a Sunday in 2027, so most offices will celebrate on Friday 30 October 2026 or Friday 29 October 2027.
Plan early, because people leave festive tasks late. On SubhSandesh, 49.4% of Raksha Bandhan 2026 pages were built on the festival day itself and 86.1% of the on-time ones within 24 hours of it. That is a different festival and a small sample (n = 89), used here only as the nearest analogue.
Also, 48.3% of shared pages are opened on a phone, so send the run-sheet as something readable on a small screen. Below: three run-sheets, a budget table, and the food, alcohol and inclusion rules.
What makes an office Halloween party different from a house party?
An office party happens on work time or straight after it, among people who did not choose each other and do not share one set of beliefs. So attendance must feel optional, food must suit allergies and religious diets, and alcohol needs a limit set in advance.
It also means employment law follows the party into the room. In the US, the EEOC's 2021 guidance on religious discrimination says an employer must, absent undue hardship, excuse an employee from a celebration that conflicts with a sincerely held belief.
Three run-of-show plans: 60, 90 and 120 minutes
Each plan below uses the same four fields: the timeline, who it suits, cost per head (EST) and prep time. None of them needs a game or a contest; if you want those, add one 15-minute block and keep the rest of the timings.
There is a reason to keep the default short. In a 2026 study of a hospital shared-meal programme, physicians met for one hour a month, and attendance fell from 75.5% to 59.7% between the first and second year, with time pressure the main barrier. Several asked for 30 to 45 minute sessions instead.
1. The 60-minute lunch party (12:00 to 13:00)
- 12:00 Doors open, food already out with allergen cards in place.
- 12:05 A two-minute welcome from the most senior person present, naming the quiet option out loud.
- 12:10 Eat. Playlist low enough to talk over.
- 12:35 One shared moment: a group photo at a backdrop, for those who want it.
- 12:50 Leftovers boxed; treat bags for colleagues with children at home.
- 13:00 Back to desks.
It suits teams of 10 to 60. Budget about $8 to $15 per head (EST) for catered lunch and a few decorations. Prep takes around 3 hours across two organisers.
2. The 90-minute afternoon party (15:30 to 17:00)
- 15:30 Arrival, hot drinks and a sweet-and-savoury table.
- 15:45 A cupcake-decorating station with pre-baked cakes, orange and black icing, and nut-free sprinkles.
- 16:15 "October wins": each team lead names one specific thing their team shipped this month, 60 seconds each.
- 16:35 Open time to talk across departments.
- 16:55 Thank-you and clear-down.
It suits mixed-shift offices. Budget about $12 to $22 per head (EST). Prep is around 4 hours, mostly buying and labelling.
3. The 120-minute after-hours party (17:00 to 19:00)
- 17:00 Arrival with a drink token pair per person and a full alcohol-free menu.
- 17:20 Hot food served, labelled.
- 17:45 A five-minute thank-you from leadership, then music up.
- 18:30 Bar closes; alcohol-free drinks and coffee continue.
- 18:50 Transport reminders and leftover boxes.
- 19:00 Lights up, party ends.
It suits offices where staff can stay late without childcare penalties. Budget about $25 to $40 per head (EST) with drinks, or $15 to $25 without. Prep takes 6 to 8 hours, including any venue booking.
Budget per head, by format (EST, October 2026)
These are planning estimates, not quotes; local catering and bar prices vary widely. They assume about 30 people in your own space.
| Format | Length | Food and drink per head (EST) | Decor and extras per head (EST) | Total per head (EST) |
|---|---|---|---|---|
| Potluck lunch, office buys drinks and decor | 60 min | $3–5 | $1–2 | $4–7 |
| Catered lunch | 60 min | $7–12 | $1–3 | $8–15 |
| Afternoon treats and decorating station | 90 min | $9–17 | $3–5 | $12–22 |
| After-hours, with two-drink tokens | 120 min | $20–33 | $5–7 | $25–40 |
A potluck costs least but shifts the work, and the allergy risk, onto staff. If you run one, the office should still buy the labels, the serving utensils and one guaranteed safe main dish.
Food: label 9 allergens and plan for religious diets
US law treats nine foods as major food allergens: milk, eggs, fish, crustacean shellfish, tree nuts, peanuts, wheat, soybeans and sesame. The FDA notes sesame became the ninth under the FASTER Act signed on 23 April 2021, effective 1 January 2023. Print one card per dish in this format, and give every dish its own spoon:
- Dish: Pumpkin-spice traybake
- Contains: wheat, milk, eggs
- Made in a kitchen with: tree nuts
- Suitable for: vegetarian; not vegan, not halal-certified
- Brought by: first name, for questions
Religious diets matter as much as allergies. The UK conciliation service Acas advises employers that if they provide food, in a canteen or for events, they should consider dietary needs connected to religion or belief, including fasting. Ask on the RSVP, keep halal, vegetarian and vegan options apart, and never hide pork or alcohol in a neutral-looking dish.
Alcohol: 5 rules that keep it optional
Decide alcohol limits before the invite goes out. A 2026 study of 97 Australian nurses in two interview sets found drinking normalised and "positively encouraged" in some workplaces, and the framework it applies describes a healthy culture as one with no pressure to drink and intoxication discouraged.
- Serve alcohol only after working hours, never at the lunch or afternoon party.
- Give two drink tokens per person; nobody tops up another person's glass.
- Put the alcohol-free drinks first on the table and make them as good as the bar.
- Close the bar 30 minutes before the end.
- Name a sober point of contact and share transport options in the invite.
Costumes: opt-in, with 6 rules HR will ask about
Make costumes optional in writing, and say that office clothes are a full answer. The EEOC guidance includes the case of a Jehovah's Witness restaurant server who asked not to join colleagues singing "Happy Birthday" to customers; with enough servers on duty to cover, the agency says it would find cause against a manager who refused. Treat anyone who skips Halloween the same way, and put these six rules in the invite:
- No masks or face paint that hide your face for the working part of the day; ID badges stay visible.
- No replica weapons, fake blood near food, or loose capes near machinery or stairs.
- No costume based on a real religion, ethnicity or culture's dress.
- No costume that mocks a colleague, client or public figure in the business.
- Remote colleagues on video are welcome in anything or nothing themed.
- Anyone can opt out of photos, and nothing goes on social media without consent.
The fasting point from Acas applies here too. A colleague who is fasting may want to drop in for ten minutes and leave before the food, so do not schedule the welcome and the food as the same moment.
When to hold it: Friday 30 October 2026 or Friday 29 October 2027
Halloween is Saturday 31 October 2026 and Sunday 31 October 2027, so the realistic work date both years is the Friday before. Send the invite two weeks ahead, on Friday 16 October 2026 or Friday 15 October 2027, with the RSVP closing one week out for catering numbers. Ask four things on the RSVP: attending or not, allergies, religious or ethical diet, and whether they want a take-home treat bag.
Where SubhSandesh fits, and where it does not
SubhSandesh does not run office parties. Its Halloween pages are one-person greeting pages with partner, best friend, family or kids modes, not invitations for a crowd. They suit the colleague who became a real friend this year, or someone waiting at home.
For a short card, the interactive Halloween card at /happy-halloween takes about five minutes: their name and yours, a letter, up to six photos and a word to carve on the pumpkin. It ends with a downloadable Boo License sized 1080×1920.
For a fuller surprise, the cinematic Halloween page at /happy-halloween-premium takes about ten minutes and adds a voice note up to 60 seconds, up to 12 photos and an optional unlock time. Its reply box takes one answer of up to 280 characters, emailed to you. For a close colleague who does not celebrate Halloween, the full template library has non-Halloween pages instead.
When an office Halloween party is the wrong call
Skip it in a month of layoffs, a crunch week or a team where many people do not celebrate; a plain autumn lunch does the same job for everyone. The hospital study above shows the cost honestly, since even a protected, paid hour lost attendees once workloads rose.
There are product limits too. Both SubhSandesh pages are English-only and built for one recipient, and the /happy-halloween No button runs away a few times, so use it only with someone who has already said yes to you, never with a colleague you barely know.
