- • For a Saturday party, send invitations on 3 October 2026 or 2 October 2027, close RSVPs 14 days out and send one reminder about 3 days before.
- • In a 2000 study, people who wrote down when and where they would do a task predicted 0.85 days and took 1.02; goal-only people predicted 1.67 and took 2.90.
- • A 2013 Cochrane review found text reminders lifted appointment attendance from 67.8% to 78.6%; no study measures house-party no-shows.
- • At Raksha Bandhan 2026 (n = 89 SubhSandesh pages), 49.4% were built on the day itself, so hold 10% of the budget back for late overruns.

Halloween Party Checklist: A Dated Countdown From Six Weeks Out
A Halloween party checklist works best as seven dated deadlines, each with one owner and one if-then plan, starting six weeks before the party. For a Saturday party that means invitations out on 3 October 2026 (or 2 October 2027), RSVPs closed two weeks out, and the shopping split between the week before and the day before. Below: how to plan a Halloween party as a dated countdown, an RSVP plan, a budget worksheet, per-guest shopping counts, and the liability and access checks.
Build in slack, because people leave things late. At Raksha Bandhan 2026, the nearest festival SubhSandesh has measured (n = 89 pages), 49.4% of greeting pages were built on the festival day itself and none was built more than 7 days ahead. Even a one-person apology page took a median 2.5 hours from first save to last edit (n = 1,396).
What is a Halloween party checklist?
A Halloween party checklist is a dated list of host tasks, counted back from the party night, where every task has a deadline and a named person. Unlike an ideas list, it says what to do on which day.
Dates alone fail because people misjudge how long jobs take. In a 2000 study by Koole and van 't Spijker at VU Amsterdam, students given only a goal predicted they would finish a short written task in 1.67 days and actually took 2.90. Students who also wrote down when and where they would do it predicted 0.85 days and took 1.02, an error small enough to be statistically indistinguishable from zero.
That "when and where" step is called an implementation intention. Peter Gollwitzer's 1999 review in American Psychologist describes a holiday test: students asked to write a report within 48 hours of Christmas Eve. Three quarters of those who chose a time and place sent it on time, against one third of those who did not, which is why every step below ends in an if-then line.
The countdown: 7 deadlines for 2026 and 2027
Halloween is Saturday 31 October 2026 and Sunday 31 October 2027. The dates below assume a party on Saturday 31 October 2026 or Saturday 30 October 2027; for any other night, count back the same number of days. Times are my own estimates.
1. Six weeks out: Sat 19 Sep 2026 / Sat 18 Sep 2027
- Do: set a spending ceiling, a guest cap and the start and end times; check your lease or building rules on gatherings.
- Time (EST): 45 minutes.
- If-then: "If the budget and the guest cap disagree, then the guest cap shrinks first."
2. Four weeks out: Sat 3 Oct 2026 / Sat 2 Oct 2027
- Do: send invitations with an RSVP date and one line asking guests to tell you what would make it easier for them to come.
- Time (EST): 30 minutes.
- If-then: "If I have not sent them by 8 pm, then I send the plain-text version tonight."
3. Two weeks out: Sat 17 Oct 2026 / Sat 16 Oct 2027
- Do: close RSVPs, lock the headcount, assign each helper a single job, and book any hired chairs or heaters.
- Time (EST): 1 hour, mostly messages.
- If-then: "If someone has not answered, then I message them once, by name, and count them as a maybe."
4. One week out: Sat 24 Oct 2026 / Sat 23 Oct 2027
- Do: send the reminder, buy everything that keeps (tableware, batteries, bin bags, drinks), and confirm how each guest gets home.
- Time (EST): 2–3 hours, including one shop.
- If-then: "If the shop is out of something, then I drop it rather than make a second trip."
5. Day before: Fri 30 Oct 2026 / Fri 29 Oct 2027
- Do: buy perishables, cook what keeps overnight, charge every speaker and battery light, and walk the route from the street to the toilet.
- Time (EST): 3–4 hours.
- If-then: "If a dish fails, then I buy a replacement on the way home instead of remaking it."
6. Day of: Sat 31 Oct 2026 / Sat 30 Oct 2027
- Do: at T-minus 4 hours, furniture and lighting; at T-minus 2 hours, food out of the fridge in order; at T-minus 30 minutes, get dressed and stop.
- Time (EST): 4 hours.
- If-then: "If a job is unfinished at T-minus 30, then it stays unfinished."
7. Day after: Sun 1 Nov 2026 / Sun 31 Oct 2027
- Do: clear rubbish and recycling, return hired items, message owners of lost property, settle shared costs, and note how long each step actually took.
- Time (EST): 2–3 hours.
- If-then: "If I want next year to run on time, then I save today's real timings next to this list."
In 2027 the day after is Halloween itself, so clear the porch first: trick-or-treaters will be ringing while you tidy. If you hold the party on Sunday 31 October 2027 instead, Monday 1 November is a working and school day, so end earlier.
How early should RSVPs close, and how many no-shows to expect?
Close RSVPs 14 days before the party and send one reminder about 3 days before it. No published study measures how many house-party guests who say yes fail to arrive; my searches of Europe PMC and Crossref for RSVP no-shows and event attendance returned nothing on private parties.
The closest measured evidence is medical appointments. A 2013 Cochrane review of 8 randomised trials found attendance of 67.8% with no reminder and 78.6% with a text-message reminder, a risk ratio of 1.14. Clinics are not parties, but one short reminder measurably moved turnout there.
Make the reminder something a guest can act on with one thumb. 48.3% of shared SubhSandesh pages are opened on a phone, so send the address as a map pin and repeat the end time. For catering, I count every yes in full and each maybe as half a guest; that rule is my own estimate, not a measured rate.
Budget worksheet and per-guest shopping counts (EST)
Set the total first and split it by share, because shares survive a change in guest numbers. The worksheet compares five spending lines; every figure is my estimate for a home party of about 15 adults.
| Budget line | Share of total (EST) | On a USD 250 budget (EST) | On an INR 10,000 budget (EST) |
|---|---|---|---|
| Food and drink | 60% | USD 150 | INR 6,000 |
| Decorations and lighting | 15% | USD 37.50 | INR 1,500 |
| Tableware and consumables | 10% | USD 25 | INR 1,000 |
| Hire, games and prizes | 5% | USD 12.50 | INR 500 |
| Contingency for overruns | 10% | USD 25 | INR 1,000 |
The contingency line is the planning-fallacy line: Koole's goal-only students overran a small task by more than a day, so keep 10% unspent until the day before. Release it then for whatever ran short.
Food and drink sit inside the 60% line above. The counts below cover the consumables that run out first, and every figure is my own estimate:
- Napkins: 4 per guest.
- Name labels or cup markers: 1 per guest, plus 5 spare.
- Bin bags: 1 per 5 guests, plus 1 for recycling.
- Spare toilet roll: 1 per 8 guests.
- Spare batteries: 2 per battery-powered light or prop.
- Glow sticks or clip-on lights: 1 per guest walking home after dark.
- Treat bags, at a family party: 1 per child, plus 2 spare.
Liability, insurance and access: the checks before the doors open
Host liability for alcohol depends on where you live, so check local law before you pour. In New York, for example, General Obligations Law § 11-100 (current revision dated 22 September 2014) lets anyone injured because of the intoxication of a person under 21 sue whoever knowingly supplied that alcohol. Other states and countries set different rules, and this is not legal advice.
Insurance is the second check. Ask your home or renters insurer in writing whether the policy's personal liability covers an injured guest, and whether a hired heater or inflatable needs its own cover.
Then check the route in. The ADA National Network's 2015 planning guide for temporary events gives the numbers a host can measure with a tape:
- Path width: at least 36 inches (about 91 cm) from the street to the main room and the toilet.
- Doorways: a 32-inch (about 81 cm) clear opening; taking a door off its hinges gains nearly 2 inches.
- Headroom: 80 inches (about 203 cm) clear, so hang bats, webs and skeletons above that line or move them off the walkway.
- Turning space: a 60-inch (about 152 cm) circle where a wheelchair user needs to turn.
The same guide lists asking unnecessary questions about a person's disability among the things covered organisers may not do. So the invitation asks what would make coming easier, not which condition a guest has.
When a dated checklist, or a SubhSandesh page, is the wrong tool
A six-week countdown is overkill for six friends and a takeaway. If the party is under a week away, keep three lines: invitations tonight, one shop two days out, and a 2-hour set-up.
SubhSandesh does not run parties. Each Halloween page greets a single recipient, there is no guest list, RSVP tracking or group messaging, and the interface is in English. It fits the one person who carried half this checklist, or the friend who cannot make it.
For a quick thank-you, the interactive Halloween card with a pumpkin to carve is roughly a 5-minute build with room for 6 photos. The premium Halloween page with a voice note and unlock time needs about 10 minutes: record up to a minute of thanks, add as many as 12 photos and leave them a reply box; set it to unlock at your party's start hour and until then the link shows only their name and a countdown. If your co-host is not a Halloween person, the full SubhSandesh template gallery has non-seasonal pages.
